Dental treatment plan follow-up

“I'll think about it” should not be the end of the plan.

A treatment plan leaves the surgery and the practice goes quiet. Clinqly gives every proposed plan a next step, a date and an owner, keeps the routine follow-up moving and shows your treatment coordinator which conversations need them.

Why treatment plans go cold

Plans rarely go cold because the patient said no. They go cold because nobody owned what should happen after the consultation.

  1. No date on the next step

The plan is sent and the follow-up is “in a week or so”. A week becomes a month because every day has more urgent work.

  2. Silence is counted from nowhere

Nobody can say how long a patient has been quiet, because nothing recorded when the practice last asked.

  3. Accepted is mistaken for booked

A patient agrees to treatment on the phone, and the appointment that should follow is never made. Months later the plan still reads as accepted.

  4. Follow-up lives in one person's head

When the treatment coordinator is off, the list of who to call is in a notebook, a spreadsheet or nowhere.

One plan, from consultation to booked

Example practice · fictional patient
  1. Day 0

Implant consultation. The plan is recorded as proposed, with Emma, the treatment coordinator, as owner.

  2. Day 3

Clinqly sends a short follow-up on WhatsApp, the channel the patient used. No reply.

  3. Day 8

The plan appears in Work as due. Emma calls, answers a question about finance and the patient says yes.

  4. Day 8

Accepted, not yet booked: Clinqly brings it to the top of Today, with real times for the treatment.

  5. Day 9

Emma sends a booking link for those times. The patient books, and the booking is matched to the plan.

What Clinqly keeps moving, and what your treatment coordinator does

Clinqly keeps moving

  • Records every proposed plan with its stage, value, owner and next date
  • Counts silence from the day the practice last asked, not from the consultation
  • Sends routine follow-up on the patient's own channel where your practice switches it on, and stops when they reply
  • Flags accepted treatment that has no appointment, with real times ready to send
  • Matches a booking made through that link back to the plan
  • Puts every plan that needs a person in one list, in order

Your team keeps

  • The conversation about the treatment itself, its options and its cost
  • Finance, suitability and anything clinical
  • Deciding when a patient needs a call rather than a message
  • Sending the booking link once the patient has agreed

Questions to ask any treatment follow-up system

Whatever you use, these decide whether plans keep moving or quietly stall.

  1. Does every proposed plan have one named owner and a next date?
  2. Is silence measured from when the practice last asked, or from the consultation?
  3. Are accepted and booked kept separate, so an unbooked acceptance shows up?
  4. Does automated follow-up stop the moment the patient replies?
  5. Can the coordinator see, each morning, exactly which plans need them?

Your PMS keeps the plan. Clinqly keeps it moving.

The clinical treatment plan, charting and notes stay in your practice-management system. Clinqly tracks the commercial journey around it: proposed, considering, accepted, booked.

Plans can be brought across by spreadsheet import or recorded as they happen. There is no live practice-management connection a practice can switch on today. Work, the treatment coordinator's view, is part of the Growth plan.

How Clinqly fits your systems

Questions practices ask

  • Does Clinqly follow up treatment plans automatically?

Where your practice switches it on, Clinqly sends routine follow-up on the patient's own channel and stops when they reply. The conversations that move treatment forward stay with your team.

  • What does “accepted, not booked” mean?

A patient has agreed to treatment but no appointment exists. Clinqly brings it to Today with real times, so a person can send a booking link the same day.

  • Will it tell us our acceptance rate went up?

No. Clinqly shows what was proposed, followed up, accepted and booked. It does not claim outcomes it cannot observe.

  • Is this a replacement for our treatment coordinator?

No. It removes the chasing and the list-keeping so your coordinator spends their time on the conversations that need them.

Bring three treatment plans that went quiet.

We'll show you where each one would sit in Clinqly, who would own it and what would happen next.
