The recall is sent. The reply is where patients come back.
Your PMS sends recalls. What happens next is where lapsed patients are won back or lost: the reply on WhatsApp, the question about Saturdays, the booking. Clinqly picks up the patients your practice says are due and carries the conversation through to an appointment.
Why lapsed patients stay lapsed
Recall letters and texts go out on schedule. The work that brings someone back happens after the message lands.
The reply has nowhere to go
A patient answers a recall text asking about evening appointments, and the reply sits in an inbox nobody watches.
Lapsed and due are treated the same
Someone who has not been in for two years gets the same message as someone due next week.
Nobody knows who was asked
Without a record of attempts, patients are messaged too often or not at all.
Booking needs another phone call
A patient who wants to come back is asked to ring during opening hours, and does not.
One lapsed patient, back in the diary
- Monday
A date the practice entered says the patient is due. The item appears for reception with a prepared message that says who set the date.
- Monday
Reception sends it. Clinqly checks the patient has not opted out, is not already booked and has not been contacted recently.
- Tuesday
The patient replies on WhatsApp asking for a Saturday. Clinqly answers from the practice's opening hours and offers real times.
- Tuesday
The patient books. The item closes, and the booking is visible to the team.
What Clinqly does, and what your practice decides
Clinqly keeps moving
- Shows which patients are due, from dates your practice entered or imported
- Prepares a short reminder that says who set the date, never implying Clinqly decided it
- Checks consent, existing bookings, recent replies, sending hours and previous attempts before anything goes
- Answers the reply on the patient's own channel and books it
- Stops after three attempts, and shows the silent ones as a call to make
Your team keeps
- Recall intervals, which are a clinical decision for your dentists
- Which dates Clinqly may act on
- Sending each reminder, which is a person's choice
- The phone call when three messages went unanswered
Your recall system keeps the dates. Clinqly keeps the conversation.
Recall intervals are set by clinicians for each patient, as NICE guidance on dental recall describes. Clinqly never works out when somebody is due; it acts only on dates your practice entered or imported.
There is no live practice-management connection, so recall dates do not sync from your PMS. A practice can keep sending recalls from its PMS and use Clinqly for the replies and the lapsed list.
How Clinqly fits your systemsQuestions practices ask
Does Clinqly decide when a patient is due a recall?
No. Recall intervals are a clinical decision. Clinqly acts only on dates your practice entered or imported.
Does it send reactivation messages on its own?
No. A person sends each reminder from the item, and Clinqly checks it may go before it does.
Can it sync recall dates from our PMS?
Not today. There is no live practice-management connection, so dates are entered or imported by spreadsheet.
What happens when a patient replies?
Clinqly answers on the same channel from your approved information and offers real times to book. Anything clinical goes to your team.
Bring a list of lapsed patients.
We'll show you how Clinqly would work through it, and which conversations would come to your team.
